CONDITIONS OF TRADE

INITIAL ENQUIRY

When first briefing us provide us with as much information as possible. Provide full details of your client or the specific groups special interests, such as likes, dislikes, religion, personal meal preferences and any physical disabilities. We also need to know what standard of accommodation they require. The more background information you can provide about your clients, the better the final product.

The quality of our proposal depends on the accuracy and content of your brief. We reserve our right in this regard and will not accept any responsibility for clients who may not fully enjoy the product as the result of an incorrect or insufficient brief or background information.

 

QUOTATIONS

Quotation requests will be processed and acknowledged immediately. You will receive your quotation within 24 hours but if we expect a delay we will advise you. Quotations will be given in SA rand and will be subject to change if costs change beyond our control. Upon request we will provide quotations in other currencies.

 

DEPOSITS

A 50% non-refundable deposit is required to secure our services.

We recommend that you ask your client to insure against loss of deposit and cancellation fees that may be levied by our company or our suppliers.

 

PAYMENT

Final payment is due 60 days before the safari/tour starts. Payments are to be made directly into our bank account in SA rands and made payable to Bearded Heron Safaris. All bank charges are for the payee’s account.

 

CANCELLATION

Cancellations must be conveyed to us in writing. On receiving such notification all the deposit will be forfeited to cover our own costs to that date, and those of our contractors/suppliers. If cancellation is received less than 60 days prior to commencement of services we will determine the cancellation fee (up to 100%) once our expenses have been assessed. Our decision in this regard is final. Last minute changes in flight times or airports, pertaining to transfers, will be charged.

 

AMENDMENTS

The lowest possible amendment fee will be levied in the event of tour changes being instructed by you, your client or another party. Such fees should be paid prior to amendments taking effect.

 

PASSPORTS, VISA AND HEALTH REGULATIONS

It will be your client’s responsibility to ensure that these are correct for entry, multiple entry and return. We will be pleased to assist and to charge appropriately for services rendered. Malaria precautions are recommended and the chosen prophylaxis will be the sole responsibility of the client after consultation with their medical practitioner.

 

RESPONSIBILITY

Bearded Heron Safaris, nor their owners, nor any agent, supplier or person contracted, shall be liable for any loss whatsoever, damage to baggage and property, inconvenience, delay, cancellation, deviation, alteration, sickness, injury or death whether such a loss be a result of negligence or not. ‘Acts of God’ and factors beyond our control (such as floods, fires, etc) remain exclusions of our responsibility.

 

AIRLINE/CARRIER RESPONSIBILITY

The passenger’s airline or other carrier’s tickets when issued shall constitute the sole contract between the passenger and the airline or other carrier.
